Employee information

This module manages the employees’ data and can hold information from the very basic employee biodata to a more detailed account of their progress, job description, dependents, normal and emergency contacts, next of kin, academic & professional history etc

Positions / Jobs

This feature would hold information on vacant positions, the organization structure highlighting the chain of command, as well as the organization chart. Job descriptions can also be attached to respective job titles

Employee Self Service

This allows employees to access the system, view their profile, request for profile changes as well as allow for the online access to other implemented transactional modules in the system such as the leave, overtime, performance management, travel management among others

Staff Information

Share information for all employees including:
a) staff Directory
b) Staff Documents e.g. forms, manuals, policies & procedures, memos etc

Staff clearance

Allows separating employees to be cleared from each relevant organizational unit / department, before being allowed to formally exit the organization

Dashboard

It is an alerting screen that highlights to the Administrative user on all time-bound tasks and alerts that they need to address, including contract renewal, end of probation, retirement, years of service or alerts on missing / incomplete data

Leave

This allows for the automation of leave application and approval. Allows HR and managers to monitor and manage leave balances

Performance Evaluation

This section allows employees to record their periodic objectives & KPIs, do interim and final selfappraisals and have their line managers also fill out their interim and final appraisals. KPIs can begrouped as either quantitative and qualitative goals.

Staff Training

This captures all information pertaining to training which is inclusive of: training profile for each employee, a training plan that maintains the timetable and a system that helps in the nomination of employees for training.

This system records all items given to employees and the condition they were returned in

Employee Discipline

The system captures incidents of disciplinary issues (date, type etc.), as well as, keeping record of the action taken and who instituted the same.

Grievances

This enables the capturing of grievances recorded by employees and the actions taken to resolve the same in addition to the person that addressed them.

Exit Survey

Allows separating employees to fill in an exit interview survey form

Staff Induction / Orientation

This allows new employees to be allocated specific people to take them through induction, while keeping progress of the same.

Staff Benefits

The benefits manager keeps track of the type of reimbursable benefits (e.g. medical, school fees, staff loans etc) and tracks the usage of the same

Overtime

The overtime manager captures all applications for overtime and allows for supervisors to approve. The approved overtime can then be converted to Overtime pay (on payroll) or Compensatory time off earned to be utilised (via leave module)

Travel advances & expense claims

This module allows an employee to apply for Official travel, and based on the travel policy, the system computes a travel Advance amount to be paid to the employee. The employee then accounts for the monies thus advanced upon returning from the trip

Employee Commendation / recognition

Allows for the performance official acknowledgement and recording of good performance.

Timesheets

Allows employees to account for their time in a specified accounting period with the objective of allocating payroll or staff costs into specified cost centers / budget codes / projects, based on the time spent in each

Probation

Allows employees to complete an end of probation form, once their probation period is over

Biometric T&T Solutions

Biometric technology is able to recognize a person on the basis of the unique features of their face, fingerprint, signature, DNA or iris pattern and then impart a secure and convenient method for authentication purposes.

Fast Pay Entreprise

Employee Information
All relevant Employee Bio data: – Names, Staff number, Identification numbers,
payment mode, Job grade & Function, Nationality, Gender, Dates of joining and
departure etc. The system can store data for more than
one thousand employees.

Multiple Payroll groups
Employees can be categorized into various groups as required. The user can then
process a single group in isolation or consolidate all the groups into one. The salary parameters can also be made to behave differently in different groups.

Job Grades & functions
A comprehensive management of salary scales and job-grades has been incorporated to provide for effortless determination of the correct earnings of
an individual. Individual salary increments can also be automated at the Anniversary of an individual in accordance with the defined job-grades and the corresponding ‘steps

User definable parameters
FastPay provides for user definable parameters whose formulae and relationship can be developed by the user to cater for both complex and simple payroll scenarios. Rules can also be incorporated in the formulae to further enhance ease of use and minimize errors in processing. These include unlimited deductions and allowances.

Scheduled Deductions and earnings

Certain salary parameters such as loans and long-term advances that are period dependant have been catered for. A special facility has been incorporated to handle such parameters and provide for different interest calculation schemes.

Security
The security structure of the system allows for different user levels, which are
determined by the user passwords. The users are assigned rights according to
their levels which will determine the passwords. This ensures that data integrity and confidentiality is maintained.

Back up facility
The system is allows for backups and data recovery to be from within the system.

Integration with other systems
The system can integrate with other systems, either HR or Financial systems,as long as they are running on relational databases.
